Privacy Policy
This policy explains what personal data TeamTBM collects across our website, Discord bots and Roblox games, how we use it, how long we keep it, and what rights you have over it.

1. Who we are
TeamTBM is an independent games development and creative technology group based in the United Kingdom. We operate the website at teamtbm.org, several Discord bots, and a collection of Roblox experiences under the TeamTBM Universe brand.
When this policy says “TeamTBM”, “we”, “us” or “our”, it refers to TeamTBM as the operator of the services listed above. If you have questions about how we handle your data, you can reach us at contact@teamtbm.org.
2. What this policy covers
This policy applies to all services operated by TeamTBM, including:
- teamtbm.org — The main TeamTBM website, including any account or developer dashboard features.
- TBM X — Our Discord moderation, logging and utility bot.
- PEC Bot — The Park Expo Collective Discord bot, operated by TeamTBM.
- Other Discord bots — Additional bots operated by TeamTBM across various servers.
- TBM Universe games — MovieWorld, TM Studios, RTP Studios, Volcano Bay on Roblox.
- Standalone games — Alterwind and other standalone TeamTBM Roblox titles.
It does not cover third-party services such as Discord, Roblox, or external partner websites, which have their own privacy policies.
3. Website & accounts
The TeamTBM website is currently primarily informational but is being expanded to include user accounts, an account dashboard, and a developer dashboard. The following data is collected in connection with the website.
Account registration
When you create an account, we collect and store:
- Username and display name.
- Email address.
- Date of birth.
- Password (stored as a salted hash — your actual password is never stored in plain text).
- IP address at the time of registration.
- Your assigned role, rank and any associated permissions within the platform.
Login activity
Each login attempt is recorded, including the IP address used and the outcome of the attempt. This information is used for security purposes and to help you identify unrecognised access. You can view and remove individual login records from your account dashboard at any time.
Cookies and session data
We use cookies to manage your session (for example, keeping you logged in) and to store preferences such as your chosen theme. See our Cookie Policy for full details.
4. Discord bots
TeamTBM operates several Discord bots. The data each one collects depends on its purpose.
TBM X — moderation, logging and utility
TBM X is our server management bot. When active in a Discord server, it may collect and store:
- Content of edited or deleted messages, including original and updated versions where available, along with author ID, channel, server and timestamps. Message content is retained for a maximum of 7 days.
- Member profile updates including display name, username, avatar changes and role additions or removals.
- Voice channel activity: joins, moves and leaves, plus server mute and server deafen state changes.
- The Discord server (guild) ID to associate all records with the correct server.
All data associated with a server is permanently deleted when TBM X is removed from that server. TBM X does not read private or direct messages.
PEC Bot — Park Expo Collective
The PEC Bot supports the Park Expo Collective community and website. It may collect:
- Basic Discord profile information for users signing into the PEC website, including display name and profile picture.
- Server role information, used to verify access levels and assign or remove roles as required within the application’s scope.
The PEC Bot is operated by TeamTBM on behalf of Park Expo Collective. A separate privacy policy covering PEC is available on the PEC website.
Other TeamTBM bots
TeamTBM operates additional Discord bots for various communities. Unless explicitly stated otherwise, these bots do not collect or store message content, voice data or member profile history. Any data collected is limited to what is necessary for the specific feature being used within that bot.
5. Roblox games
The TeamTBM Universe is a shared collection of Roblox experiences. Game data is stored in our own database infrastructure outside of Roblox and is shared across multiple universe titles.
Games that collect data
By playing any of the following games, your in-game data is collected and stored by TeamTBM:
- TBM Universe games: MovieWorld, TM Studios, RTP Studios, Volcano Bay.
- Standalone TeamTBM games: Alterwind.
What game data includes
- Your Roblox user ID, used to identify your save data.
- In-game progress, achievements, settings and other data generated through normal gameplay.
- Any data specific to the mechanics of the game you are playing (for example, character states, unlocks or preferences).
Roblox platform data
Roblox itself collects separate data about your account and activity in accordance with Roblox’s own Privacy Policy. TeamTBM has no control over that data.
6. How we use your data
We use the data we collect only for the purposes it was collected for:
- To provide and maintain the features of the website, including accounts, dashboards and authentication.
- To keep your account secure by recording and surfacing login activity.
- To provide Discord bot features to server administrators and moderators.
- To save and restore your in-game progress across TeamTBM Roblox games.
- To respond to support requests or data enquiries you send us.
We do not use your data for advertising or profiling. We do not sell or share your data with third parties for marketing purposes.
7. How long we keep it
- Message logs (TBM X): Maximum 7 days, then automatically deleted.
- Bot server data: Retained while the bot remains in the server. Permanently deleted on bot removal.
- Website account data: Retained for the lifetime of the account. Deleted upon a verified account deletion or right-to-erasure request.
- Login records: Retained until you remove them via the account dashboard, or until your account is deleted.
- Game data: Retained indefinitely to preserve your progress. Can be removed on request.
8. Security
All data held by TeamTBM is stored in secured databases. Passwords are stored as salted hashes and are never accessible in plain text. Access to stored data is restricted to authorised TeamTBM team members and, where applicable, to the user it belongs to via their own dashboard.
We take reasonable steps to protect your data against unauthorised access, loss or misuse. No system is entirely without risk, and we cannot guarantee absolute security, but we will always act promptly in the event of a confirmed security incident.
9. Third parties
Some TeamTBM services interact with third-party platforms. Each platform operates under its own privacy policy, which governs how they handle your data independently of TeamTBM:
- Discord Privacy Policy — applies to all Discord bot interactions.
- Roblox Privacy Policy — applies to all Roblox game interactions.
We do not share your data with any other third party except where required by law.
10. Your rights
You have the following rights over your personal data held by TeamTBM:
- Right of access — you can request a copy of the personal data we hold about you.
- Right to rectification — you can ask us to correct inaccurate or incomplete data.
- Right to erasure — you can ask us to delete your personal data. Some data (such as login records) can be managed directly from your account dashboard.
- Right to restrict processing — you can ask us to limit how we use your data in certain circumstances.
- Right to data portability — you can request that we provide your data in a portable format.
- Right to object — you can object to certain uses of your data.
To exercise any of these rights, email us at contact@teamtbm.org or use our contact form. Please include enough detail to identify your account or data (such as your username or Roblox user ID). We aim to respond within 30 days.
For Roblox game data, right-to-erasure requests are typically best handled via Roblox’s own data deletion process, though you are welcome to contact us directly if you prefer.
11. Children
TeamTBM services are not directed at children under the age of 13. We do not knowingly collect personal data from children under 13. If you believe a child under 13 has provided us with personal information, please contact us immediately at contact@teamtbm.org and we will take steps to remove that information promptly.
